We are bringing innovation to a stagnant industry and are looking for an Administrative Assistant to join our team in New York Operations office in Smithtown, NY. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.

Job Type: Full-time

Hourly rate: $20 - $25

Administrative Assistant Responsibilities:

  • Manage all administrative tasks such as phone call and email management
  • Heavy calendar management including: arrange meetings, appointments and provide reminders
  • Liaise between Supervisors, Managers, and employees/Clients
  • Provide administrative support to the Ambulnz New York Operations team under the direction of the General Manager
  • Plan meetings, take detailed minutes, and schedule conference/meeting rooms in a timely manner when needed
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists, book travel arrangements, and assist with travel & expenditures reimbursement administration on behalf of the General Manager
  • Act as the point of contact for internal and external clients for admin duties

  • Maintain records in database systems
  • Assist our Operations Department with administrative tasks as needed
  • Compile, proofread and revise drafts of documents and reports
  • Perform additional duties as assigned

Requirements:

  • Bachelor's Degree (preferred); high school diploma or equivalent required
  • 2+ years of experience supporting senior level managers
  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel, Word and MS PowerPoint, in particular)
  • Proficiency in Google Suite
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
